Presentation: the official voice of your organization

The Hotline is your app’s private "Concierge" or "Help Desk." While the Chat module is perfect for social interaction and Group Chats (like team threads or fan groups), the Hotline is a dedicated private channel between an individual member and the organization’s management.

The Hotline is a "one-to-one" environment. Unlike a Group Chat where everyone sees every message, the Hotline ensures that a member's question is seen only by the administrators.

🛡️ Professional Identity

When you reply via the Hotline, you don't post as "John Smith." You post as The Club.

  • Brand Authority: The user sees the response coming from the Organization Name (e.g., "City Football Club").
  • Staff Privacy: This protects your volunteers and staff by keeping their personal profiles hidden while they manage official business.

🏆 3 Key Use Cases

  1. General Assembly & Governance 🗳️: During a General Assembly, members can use the Hotline to submit questions to the Board of Directors. This allows the board to moderate questions privately and answer them officially without the clutter of a massive group chat.
  2. Confidential Reporting 🚩: Players or parents can report sensitive issues, injuries, or "Safeguarding" concerns directly to the club leadership in total privacy.
  3. Member Support 🎫: Use it as a digital front desk for questions about registration fees, lost property, or trial dates.

Setup: create a welcome message and answer messages

Create a welcome message

Make sure you have the "hot line" module installed

  1. Go to Hot line in the left menu.
  2. Type your personalized welcome message.
  3. Save changes.

Answer messages from your community

Hotline messages can only be answered from within the Medikka app. They cannot be answered from the web-based back office. To access the hotline, you must first be assigned as an administrator by your organization, which gives you the required permissions.

  • Step 1 — Open the Medikka App

    Open your organization’s Medikka app on your mobile device.

  • Step 2 — Switch to Admin Mode

    To access the administration features:

    Click on the last tab in the bottom navigation menu (Admin icon).

    This will switch the app to Admin Mode.

  • Step 3 — Open the Hotline

    In Admin Mode, tap the Hotline icon.

    You will see the list of incoming conversations.

    Select the conversation you want to reply to.

  • Step 4 — Reply to the Message

    Type your response and send it to the user.

    After replying, you can choose to:

    Archive the conversation if the issue is resolved

    Leave it in the inbox if further follow-up may be needed

💡 Tip: Archiving resolved conversations helps keep the hotline inbox organized and makes it easier to track new requests.
